Rules and how a day works
The agreement in plain words
- You are a volunteer. There is no salary, allowance or payment, and this is not a job in the public service.
- Six months: 8 October 2026 to 7 April 2027. You agree to serve the full term and to finish each task by its date.
- Every task is reviewed before it is accepted: first by another volunteer, then by the Coordinating Secretary.
- Hours: Monday to Friday, 8.30 a.m. to 4.15 p.m. at the Office. If a serious reason makes you leave early (illness, a family emergency, studies or employment), give at least fourteen days' notice in writing and hand over all your work.
- Leaving before the end of the term means no letter of appreciation and no certificate.
- Your work belongs to the Eastern Provincial Council. You may describe your own part in your CV, without confidential content.
- Do not post about the Office, its systems or its work anywhere without the Office's approval.
- On completing the term: a letter of appreciation and a certificate from the provincial certificate system.
- The Office may end the agreement at any time.
Data rules
- Test data only, unless the Office allows otherwise in writing for one task.
- Never look for, copy, photograph, record, share or take away official information or personal data.
- Keep no official information on your own phone, laptop or accounts.
- No passwords or keys in any work, screenshot or message. Never share an account.
- Tell the Coordinating Secretary at once about any loss, leak or weakness you find, and no one else.
- No photos of people in evidence or screenshots.
What this app keeps about you
- Your name, team, phone number and email, your term dates, and your work: tasks, reviews, stand-ups, demos and attendance.
- No NIC number, no location, no photos. Presence in the room is shown only by scanning the code on the room screen.
- Every change is recorded with who made it and when.
- You sign in with your email and a password. The Coordinating Secretary sets your first password; you can change it on your page. Only a scrambled form of it is kept, never the password itself. Keep it to yourself.
- Calls in the portal open a private video room made for that call. Who called whom, when, and whether it was answered are kept; the call itself is not recorded.
Your active time in this portal is recorded.
While the portal is open, it notes once a minute whether you are active or idle. Idle means no mouse, keyboard, touch or scroll in the portal for five minutes, or the portal tab is hidden. For each day it keeps your time open, active and idle, and when you were first and last seen. The office team's room-code check-in and check-out stay as they are.
Nothing outside the portal is recorded: no screenshots, no keystroke content, no location. You can see your own numbers on your Today page.
How a day works
- Arrive by 8.30. Scan the code on the room screen with your signed-in phone to check in.
- Send your stand-up on your phone by 9.00: done yesterday, doing today, stuck on.
- Work on your own task. Your partner reviews it; you review theirs. Swap the keyboard every 30 to 45 minutes when you work together.
- Stuck? Raise it on the task. Do not wait.
- Scan the code again when you leave at 4.15.
- Cannot come? Report it on your phone before 8.30, with a reason. Days off are asked for ahead.
Every Friday
Each person shows their own work in five minutes. Then an optional vote for the favourite demo.
